About the Role
We’re looking for an experienced, detail-loving, mind-reading Executive Assistant to support the Founder & CEO of SystemWorks (aka our Chaos Coordinator-in-Chief). You’ll be the right-hand human keeping the wheels turning behind the scenes. You'll be managing meetings, inboxes, calendars and taking on anything else that keeps things moving forward.
This isn’t just a “book flights and remind me about dentist appointments” role (though there’s some of that too). It’s about owning time, information and priorities, ensuring the right things happen at the right time, often before anyone else realises what’s needed. You’ll also provide light office support to keep our office running smoothly.
Responsibilities
- Coordinate, manage, and attend meetings with our Founder & CEO.
- Capture clear and actionable notes, update action points and follow up with relevant stakeholders.
- Assist in managing the Founder & CEO’s inbox, ensuring key commitments and follow-ups don’t slip through the cracks.
- Keep the Founder & CEO prepped and ahead of schedule.
- Manage calendars and scheduling, resolving conflicts and adapting to shifting priorities.
- Write, edit, and polish proposals, presentations and communications.
- Provide light office support/management.
- Support with light financial administration, including expenses, invoicing and monthly reports.
Requirements
- A relevant diploma or degree in Business Administration, Office Management or a related field.
- Proven experience as an Executive Assistant, Personal Assistant or in a similar high-paced support role.
- Exceptional organisational and time-management skills.
- Highly articulate, persuasive and professional, in both verbal and written communication.
- Proactive, resourceful and able to manage competing priorities independently.
- Anticipate challenges and find solutions before they escalate.
- High emotional intelligence, discretion and professionalism in handling sensitive information.
- Proficiency with MS Office (Outlook, Teams, Word, Excel, PowerPoint).
Nice to have
- Experience in a fast-paced consulting or professional services environment.
- Comfortable streamlining processes or introducing small improvements to how things get done.
- Basic accounting skills to support light financial admin and reporting.
